Development of the ODL Website for PSB UUM
As part of my responsibilities in the Automation Unit, I was entrusted with the task of developing the ODL (Open and Distance Learning) website for Perpustakaan Sultanah Bahiyah (PSB) at Universiti Utara Malaysia (UUM). The project aimed to create a centralised and user-friendly platform that consolidates the most-visited pages from the library's official website, ensuring users could easily access frequently used services.
Objective and Scope of the Project
The primary goal of the ODL website was to enhance accessibility and usability for learners, especially those engaged in open and distance learning. The focus was on simplifying navigation and providing a seamless experience for users seeking library services, such as accessing e-resources, borrowing policies, and other academic support tools. This involved identifying key services frequently accessed by users and structuring the website to prioritise these features.
Task Assignment and Guidance
This project was assigned by Puan Norihan Anah, who provided the overall objectives and expectations for the website. I worked under the guidance of Encik Zaihasrim, who is concurrently managing the development of the new official PSB UUM website. Their expertise and feedback were instrumental in aligning the ODL website with the broader vision of the library’s digital transformation.
Design and Development Using WordPress
To develop the website, I utilised WordPress, a widely used content management system (CMS) known for its flexibility and ease of use. This involved:
- Theme Selection and Customisation: Choosing a suitable theme that complemented the library’s branding and customising it to meet specific requirements.
- Page Structuring: Creating and organising pages to highlight essential services, ensuring users could quickly locate what they needed.
- Content Integration: Incorporating text, images, and links to reflect the services and resources provided by PSB.
- User-Centric Features: Adding features such as search bars, contact forms, and navigation menus to improve the overall user experience.
Collaboration and Feedback
Throughout the project, I collaborated with my supervisors to ensure the website met the desired objectives. Regular updates were provided to refine the design and functionality based on their feedback. This iterative process allowed me to make necessary adjustments and ensure the final product aligned with the library’s goals.
Outcome and Reflection
Completing this project was a significant learning experience, as it enabled me to enhance my web development skills while contributing to the library’s efforts in supporting open and distance learning. The website now serves as a valuable resource for students and faculty, bridging the gap between users and the library’s services.
Managing Library User Renewals
In addition to my primary tasks, I was assigned a critical responsibility by Puan Siti Norain to handle the renewal section for library users. The objective of this task was to extend the borrowing periods for users, ensuring that their due dates were updated to 1 January 2025.
Scope of the Task
The assignment involved managing an extensive list of user records, which required meticulous attention to detail and efficient use of the library management system. The task was time-sensitive and necessitated accuracy to avoid any discrepancies in user records or borrowing statuses.
Steps Undertaken
Reviewing the User Records
I was provided with an Excel spreadsheet containing a list of library users and their borrowed materials. Each record included essential details such as user information and the barcodes of the books that required renewal.Using the Sierra Library System
I utilised the Sierra library system, a robust tool for managing library operations. For each user record:- I located the specific borrowing transaction using the barcode provided.
- The return date for each borrowed item was updated to reflect the new due date of 1 January 2025.
Tracking Progress in Excel
After completing the updates in Sierra, I returned to the Excel sheet and marked each corresponding record as “complete.” This step ensured a systematic approach, minimising the risk of duplication or oversight.
Challenges and Solutions
The workload was substantial, given the length of the user list and the detailed nature of the task. To manage this effectively:
- I prioritised accuracy over speed, double-checking each record before marking it as complete.
- I organised my workflow to handle the records in batches, maintaining focus and consistency throughout the process.
Outcome and Reflection
Despite the volume of work, I successfully completed the task efficiently and within the expected timeframe. This assignment not only enhanced my familiarity with the Sierra library system but also underscored the importance of precision and organisation in handling administrative tasks.
First Day of Rotation in the Automation Unit
On my first day of rotation in the Automation Unit, I had the opportunity to shadow and assist Mr Mad Aisha in carrying out technical upgrades and support tasks. These initial experiences provided valuable hands-on learning opportunities and set the tone for the rest of my rotation in this unit.
Upgrading Mrs Fauziati’s PC
One of the key tasks on my first day involved upgrading the computer system of Mrs Fauziati, who is part of the Scholarly Services team. The task was to enhance the performance of her PC by replacing the existing HDD (Hard Disk Drive) with a more efficient SSD (Solid-State Drive).
- Learning Points: Through this process, I learned about the internal components of a computer, the steps required to perform an upgrade, and the benefits of transitioning to SSDs, such as faster boot times and improved system responsiveness.
- Team Collaboration: Working alongside Mr Mad Aisha, I gained insight into the importance of teamwork and precision when handling sensitive hardware.
Setting Up the PA System for a Workshop
A few days later, I assisted Mr Mad Aisha in setting up the PA (Public Address) system for a workshop organised by the Information Consultation Unit. This involved configuring the audio equipment to ensure clear sound quality throughout the event.
- Application of Knowledge: Having prior experience with audio equipment due to my hobby of playing the electric guitar, I was able to contribute effectively by understanding the basic principles of audio signal flow and equipment operation.
- Practical Skills Acquired: I learned how to properly connect microphones, speakers, and other components, as well as troubleshoot any technical issues that arose during the setup.
Reflection
These experiences on my first day and during the subsequent tasks not only enhanced my technical skills but also reinforced the value of leveraging prior knowledge in new contexts. The transition from personal experience with musical equipment to professional use in a workshop setting was particularly rewarding, as it demonstrated the versatility of my skills.
Final Days and Key Tasks: ODL Content and eResources Redesign
In the final days of my time here, I was given a couple of important tasks to complete. Mr. Zaihasrim approached me and asked if I could transfer the content for my ODL into his WordPress site. I was more than willing to take on this task, as it seemed like a great opportunity to refine my skills further. I worked diligently to ensure that the content was well-organised and fully integrated into the platform, following his specific instructions carefully.
In addition, Mrs. Mazyana asked me to redesign the outdated Bootstrap page for the eResources section of Lintas. The page had been in need of a refresh for quite some time, so I put extra effort into ensuring that the new design was both modern and user-friendly, with a focus on accessibility and responsiveness across different devices. It was a challenging yet rewarding experience, and I felt pleased with the final result.
Once I had finished updating the ODL content on Mr. Zaihasrim's WordPress site, he took the opportunity to present the work in front of Prof. Che Azlan bin Taib. I felt a great sense of accomplishment seeing the work come together in such a formal setting. However, the redesigned eResources page was not presented alongside it, which left me slightly disappointed, as I had hoped to receive feedback on that part of the project as well. Nonetheless, I was grateful for the chance to contribute and learn through these experiences.
